Primary focus of this position will be the responsibility of monitoring, maintaining, tracking and processing IHD-Liquids invoicing procedures to ensure payment completion with the accounting dept. This position must maintain open communication with the sales and accounting staff to guarantee that the invoicing processes are fulfilled. Secondary focus of this position will be administrative support at the IHD-Liquids location. This position will be the first person the customers will come into contact with either in person or over the phone. It is important they have a pleasant demeanor, patience and able to present a professional attitude. • The office is located 9 miles southwest of Williston on HWGY 85, need to be comfortable not being able to leave for lunch. • Responsible for daily cooking and baking for clients. • Shift work - 3 week on-1 week off shift, Wednesday through Tuesday. • This position will have to cover a 2-11 shift every other month but will be majority days, 6-3.
Duties
  • Invoicing - IHD-L Invoicing
  • Invoicing - Print and Log New Invoices
  • Invoicing - Research disputed invoices and invoice discrepancies
  • Invoicing - Determine how to route invoices based on a complex matrix
  • Invoicing - Take and Process Credit Card Payments
  • Admin - Entering, storing and maintaining sales and other data
  • Admin - Welcome truck drivers and guide them through the process of using our facility
  • Admin - Prepare snacks
  • Admin - Greet customers and check them in and out of the plant
  • Admin - Coordinate communication and timing of incoming trucks
  • Admin - Coordinate and manage needs of the plant (repairs, water disposal, vendors, etc.)
  • Admin - Track all outgoing fluids and solids. Maintain files for these records.
  • Admin - Answer incoming phone calls, take messages, etc.
  • Admin - Maintain the office space. Keep it organized, neat, and clean
  • Admin - Ensure an adequate supply of office, PPE and kitchen supplies
  • Admin - Schedule and execute the shipments of loads to Idaho
  • Admin - Obtain Invoice Signatures
Requirements
  • Office clerical experience – 2+ years minimum
  • High School Diploma or general education degree (GED)
  • Basic understanding of accounting
  • Proficiency in Microsoft Office applications including intermediate Excel skills
  • Excellent verbal and written communication skills, attention to detail
  • Strong problem solving skills
  • Ability to multi-task, prioritize, and work independently
  • Strong team player
  • Dependability and ability to work flexible/extended hours as needed
  • Excellent customer service and phone skills
